What kind of personal data does Onboard Space collect from you?

Also, opening a member’s account will allow you to save your personal settings, upload photos on your profile, add a mini-biography, add details of your boat (if you are the boat owner), review sailing opportunities applications, plan and manage future sailing trips, as well as benefit from other features only available to members (such as special offers). Your profile may also include personal data such as your gender, age and personal description (mini-biography) and your photograph.

We will use your email address to send you a confirmation of any services or information that you request, to confirm any profile or account changes you make, for marketing purposes such as information updates, newsletters and for administration and security purposes. Located at the bottom of each email you have an automated option which allows you to change your privacy settings such as hide your profile and make your account inactive.

The information mentioned above is collected by us or third party data processors acting on our behalf such as business partners, technical staff, payment services, advertising networks and analytics providers, to personalise web content and advertising based on your individual preferences and characteristics, ensuring that our website is compatible with browsers and operating systems used by most of our users, and to assist with in-house research and analysis to improve understanding of our customer needs, to create marketing profiles, to provide goods and services we feel may interest you or other users and to support strategic development.

Why does Onboard Space collect and use your personal data?

We use the information you give us to administer your member’s account. We may use your information for marketing activities such as sending you our newsletter or other third-party offers we think you might find interesting.

There may be other times when we contact you. For example, when you have not yet finalised a payment online, we can contact you with a reminder to continue with your application. We believe that this additional service benefits you as it allows you to continue a trip application without having to fill in your details again.

When you use our services, we may send you a questionnaire or invite you to provide a review about your experience with Onboard Space.

We sometimes ask our members to take part in market research. Please see the information provided when you are invited to participate to understand what personal data is collected and how your personal data is used further.

We also send you material related to your trip applications, such as how to contact other members, and information that we feel might be useful to you in planning or getting the best out of a sailing trip.

We also use personal data for analytical purposes in order to improve our services and enhance the user experience. The main goal here is to optimise and customise our online platform to your needs, making our site easier to navigate and more enjoyable to use.

Members are invited to submit a review after the trip. By completing a review, you are agreeing that it can be displayed (as described in detail in our Terms and Conditions) on, for example, the relevant trip page on our website and on our social media accounts. This is to inform other members about the quality of the trip you embarked on, the destination you have chosen or other experiences you choose to share.

In certain cases, we may need to use your information to handle and resolve legal disputes, for regulatory investigations and compliance, to enforce the terms of use of the Onboard Space website applications or to comply with lawful requests from law enforcement agencies. We may need to send you other administrative messages, which may include security alerts for example.

For instance, we cannot process your trip application if we do not collect your name and contact details.

To enable us to publish your reviews.

What information may we keep from you?

We may keep a record of any correspondence between you and us, details of your visits to our platform and the resources that you access, details of sailing trips you have applied for or offered through our platform.

Information of accounting or financial transactions including transactions carried out through our platform such as your payment using a card.

Your replies to any surveys or questionnaires, such as your reviews on the trips you have shared with other members. Such information may be used for analytic and user understanding purposes.

Information we may require from you when you report a problem with our platform or our service, such as the subject of your request for support.

We may collect, in accordance with applicable laws and where required with your consent, information relating to the devices you use and the networks you are connected to when using our services. This may include the following information: your IP address, log-in information, browser type and version, browser plug-in types and versions, operating system and platform, advertising identifier, information about your visit through and from our platform, products you viewed or searched for, download errors, length of visits to certain pages and page interaction. How long will we store your data for?

We do not have an expiry on the amount of time we will store your personal data during the duration of your relationship with us. However, we will keep your data stored for five years after your last use of our website and one year after the closing of your account. In the event that your account is suspended or blocked, we will keep your data for a period of between two and five years. Financial data is stored for the duration required by accounting laws.

Where do we store your data?

Who do we share the information we collect from you with?

When you use our services, some information about you is shared with other members of the website, either on your public profile or during the sailing opportunity application process (i.e. we give your telephone number and email address to the member with whom you will share a trip).

As part of the sailing opportunity application process, information such as your name, photograph, phone number and email address, may be displayed on the platform and passed on to a Crewmember (if you are a Boat Owner) or a Boat Owner (if you are a member of crew).

As part of our rating system, the reviews you write will be published on the platform. The reviews, including your abbreviated name (username) and photography, are visible to all visitors of the platform.

We may distribute parts of our platform (including sailing trips posted by Boat Owners) for display on social media websites.

How do we share your data with third parties?

We only share your personal data with third parties when it is necessary to involve a third party service provider (i.e. if we charge you any fees or collect any money from you in relation to any services on the platform).

We will never disclose, sell or rent your personal information to any third party unless you have consented to this. However, in the event that a third party acquires all or part of our business and/or assets, we may disclose your personal information to that third party in connection with the acquisition.

We may also disclose your personal information where we are required to do so by applicable law, by a governmental body or by a law enforcement agency, or in order to enforce or apply our Terms and Conditions and other agreements. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

We may use service providers to process your personal data on our behalf, such as sending out marketing material or validating the correctness of the email address you provided during the trip application process. Third party service providers are bound by confidentiality clauses and are not allowed to use your personal data for other purposes than instructed by Onboard Space.

Please note that these websites have their own privacy practices and that we do not accept any responsibility or liability for these websites. Onboard Space uses Google Analytics in order to gain a better insight into the audience and improve user experience on the Onboard Space website. This information is treated as highly confidential and will only be used for internal statistical reporting.

Onboard Space uses Mailchimp for email newsletters and for marketing activities. Mailchimp offers full visibility of any of your information used by their service and the option to unsubscribe which will delete any of your personal data.

We use PayPal as a payment service, which allows members to make online payments of fees using their PayPal credentials and PayPal privacy policy will apply to the information you provide on the PayPal website.

How do we process communications that users may send to Onboard Space?

We may keep a record of your communication with us, for example, by storing all or part of your message when you contact us through the contact form on our website. This will enable Onboard Space to continue to provide you with the best service should a query arise in the future and to provide a safer service to our members.

How do we process messages between members on the website?

We may review, scan, or analyse the messages you exchange with other members through our platform for service improvement, customer support purposes, fraud prevention and enforcement of the contracts entered into with our members, such as our Terms and Conditions. For example, members must not obtain or attempt to obtain any information through any means not intentionally made available on the platform, such as trying to bypass the application system of the platform by sending another Member contact details in order to make the application outside of the platform and avoid paying the fee.

We will never scan or analyse your messages with other members of our platform for commercial and advertising purposes. We may use automated methods to carry out the moderation of these messages, but no automated individual decision-making is performed in this regard.

In accordance with applicable laws and where required, with your consent, we may use the information you give us on our platform for electronic direct marketing purposes (i.e. receiving our newsletter, or other communications that we think may be of interest to you).

We reserve the right to review or block the delivery of communications between members that we, in our sole discretion, believe may contain malicious content, spam, or may pose a risk to you or others users.

How does Onboard Space handle personal data of children?

Onboard Space may collect and process information of children under the age of 18 only as provided by the parent or guardian, or with their consent. Therefore, if you are under the age of 18, you should not use the Onboard Space website unless you have the consent of a parent or legal guardian.

How does Onboard Space make use of mobile devices?

We offer our website optimised for mobile and tablet browsing. The website on these devices processes the personal details you give us in the same way as our website does on a computer.
